This Refund Policy explains clearly and simply how refunds work for services provided by Vacanzy FZ LLC. Vacanzy is a service-based company. Once work starts, refunds are generally not possible.

Why This Refund Policy Exists

This policy is written to make sure you clearly understand: When you can get a refund, When you cannot get a refund, Why refunds are limited, and How refund requests are handled. There are no hidden rules.

Important Rule You Must Know

Once Vacanzy starts working on your case, the amount paid is NOT refundable. This is because: Time, resources, and documentation work start immediately; Government and third-party systems are involved; Many fees become irreversible once submitted.

Understanding Different Types of Fees

Fees are divided into three clear categories: (1) Vacanzy Service Fees - Amount paid for consultation, documentation, application preparation, and coordination with authorities (NOT refundable once work has started). (2) Government Fees - Fees paid to Free Zones, Immigration, MOFA, Embassies, and other authorities (NEVER refundable, even if application is rejected, approval is delayed, or client withdraws). (3) Third-Party Fees - Fees paid to typing centers, medical centers, insurance providers, legal translators, and courier services (NOT refundable once paid).

When Refunds Are NOT Allowed

Refunds will NOT be provided if: Work has started on your application; Documents were submitted anywhere; Government or third-party fees are paid; Your application is rejected; Your visa, license, or name approval is refused; Delay happens due to authorities; You change your decision; You fail to provide documents on time; Incorrect or false information is provided; AML / compliance issues arise. Rejection does NOT mean service failure.

When a Refund MAY Be Considered

A refund may be considered only if ALL conditions below are met: No work has started; No documents submitted; No government or third-party fees paid; Request is approved by Vacanzy management. Even then: Administrative charges may be deducted; Approval is not guaranteed.

Partial Refunds Explained

If a refund is approved: Any completed work is deducted; Administrative costs are deducted; Bank and transaction charges are deducted. You will receive only the remaining balance, if any.

How to Request a Refund

Step 1: Send a written request by email or portal ticket. Step 2: Include invoice number, payment reference, service name, and reason for refund. Step 3: Vacanzy reviews the request within 7–14 working days.

How Long Refund Processing Takes

If approved: Refunds are processed within 30–45 working days; Refunds are sent through the original payment method; NO cash refunds.

Chargebacks & Payment Disputes

Very Important Notice: If you raise a chargeback without contacting Vacanzy first: Services may be stopped immediately; Legal recovery action may be taken; Future services may be denied. We always recommend contacting us first.

Special Offers & Packages

Some services (discounted or promotional): May have separate refund rules; Will be clearly mentioned before payment. Those rules will override this policy if stated.

Force Majeure (Out of Our Control)

No refunds will be given for delays or failures caused by: Government rule changes; System outages; Natural disasters; Pandemics.

Policy Updates

Vacanzy may update this Refund Policy at any time. The latest version on the website or portal always applies.
